Who we are
Essential Safety Ltd are a Health & Safety and Fire Safety Consultancy
How your personal data will be used
We hold and process personal data about Clients, Associates and applicants in order to carry out legitimate business purposes.
We usually keep this information for as long as it is legally required.
Clients – We will keep information such as but not exclusive to names, job titles, job roles and business contact details for general business purposes, communication purposes, report writing, personal risk assessments of client staff (which may include some medical information for the report only), accident investigation, professional membership cards (for assisting with accreditation) and training records (a signature might also be kept), etc.
Details may be shared with other client company employees/manager/directors etc, and Essential Safety staff, as required for legitimate business purposes
Associates – We will keep information required to satisfy the business requirement of assessing associates competences and suitability and for payment purposes.
Details may be shared with other Essential Safety staff, HMRC/Payrol services or client contacts, as required for legitimate business purposes
Applicants - We will keep information required for applicant selection and interview assessment.

Should there be any change to the above details in the future you are asked to notify us promptly. This will ensure we maintain accurate personal details If it becomes our intention to use your information for any other reason, we shall advise you of those intentions prior to using the information for the additional purpose(s) as well as advising you of any other details within this statement which may be affected.
You have a number of rights with regards to how your data is protected.
By providing us with your information you will have the right to access and rectify your personal details. If you did wish to access your data, you shall have the right to view or receive a copy of the information in a commonly used format such as a pdf document or an e-mail. Any information which is processed by automated means and is purely required for the performance of a contract, may be transmitted to another data controller if you request it. You may also have the right to ask for the processing of your personal data to be restricted or even erased. Whether or not you exercise the right to erasure, the Company will erase your personal data in certain situations and particularly when the data is no longer required.
At any time. you may have the right to object to the processing of your personal data where processing is conducted for legitimate business reasons. If you exercise this right, then unless we have compelling reasons not to, we shall cease to process your data wherever data protection laws allow.
Why the personal data is legally required
The information we wish to gather about Clients, Associates, applicants etc is collected on the grounds of:
Part of a statutory requirement to keep records for HMRC.
A contractual requirement as part of a service.
Legitimate business purpose e.g. day to day running of the business and general well being of employees.
Sending personal data internationally
We currently have no reason to transfer and process information outside of the EEA.
